The team executive administrative assistant will perform numerous functions in support of the office team.  

Duties include, but are not limited to, the following:


Phone & Meeting Coordination

  • Screen phone calls and take messages when appropriate
  • Set up WebEx meetings
  • Set up/coordinate meetings, including attendee notification, meeting space arrangement, etc.
  • Order meals as needed/requested
  • Coordinate travel and arrange accommodations as needed


Miscellaneous Office Management

  • Distribute mail, FedEx and faxes 
  • Order supplies from corporate express, and place other special orders as needed 
  • Place service calls for office equipment and maintenance  
  • Facilitate mail outs and communication fax blasts as needed


Presentation, Communications & Reports Support

  • Assist with developing PowerPoint presentations as requested
  • Make copies, build binders, bind books as needed
  • Assist in coordinating and compiling information for reports
  • Format and develop documents and presentations in standards suitable for executive presentation
  • Take meeting minutes/notes if needed
  • Type/edit and distribute memos as directed


Filing & Organization

  • Manage organization of files and binders
  • Organize electronic files, including reports, digital images and documentation
  • Update/maintain contact databases as needed


Budget Invoicing & Tracking

  • Verify all incoming bills for correct budget allocation for expenses pertaining to multiple NCI buildings divisions
  • Assign line item code to each invoice
  • Log each invoice and code into department tracking system
  • Facilitate approval process
  • Handle all check requests
  • Follow up on issues and discrepancies


must possess the following skills:

  • Energetic, positive attitude
  • Able to multi-task and handle multiple priorities in a fast-paced environment
  • Be proactive in assisting others
  • Excellent written and verbal communication skills
  • Proficient in the use of Microsoft office suite of applications, including Excel, PowerPoint, Access, and Word.
  • Oracle experience a plus.
  • Timely, prompt and action/deadline oriented
  • Quality focused with a high degree of accuracy and neatness on projects
  • Minimum 1-2 years executive admin experience
